Additionally, our hosting provider (Cloud86) automatically processes technical information, such as IP addresses in server log files, for security and diagnostic purposes.

3. Purpose of Processing

We process your personal data solely to respond to your message or inquiry. We do not use this information for marketing, profiling, or any other purposes.

4. Legal Basis

We process your data on the basis of legitimate interest. We have a legitimate interest in responding to inquiries and maintaining communication with individuals who contact us.

5. Retention Period

We retain your personal data until you request its deletion. You may submit a deletion request at any time by emailing antares@antaresfoundation.org.

6. Sharing of Personal Data

We do not share your personal data with third parties, except with service providers who support the operation of our website and email systems. These parties are:

Cloud86 (Website Hosting)

Processes technical data (such as IP addresses in server logs) within the European Union.

Outlook / Microsoft 365 (Primary Email System)

Submitted messages are received in our Microsoft 365 inbox. Microsoft acts as a data processor, and data is stored within the European Economic Area (EEA) under the Microsoft Data Protection Addendum (GDPR-compliant).

Google Workspace (Secondary Email System via Forwarding)

A copy of each message is automatically forwarded to a Google Workspace inbox. Google Workspace is GDPR-compliant and uses EU data centers where configured.

No other parties receive access to your personal data unless required by law.

7. International Data Transfers

Microsoft 365 and Google Workspace primarily process data within the EU. In rare cases, limited data may be processed outside the EU for technical support purposes, but only under the European Commission’s Standard Contractual Clauses, ensuring an adequate level of protection. Your data therefore remains safeguarded in line with GDPR requirements.

8. Cookies

Our website only uses technical and functional cookies necessary for the website to operate properly. We do not use analytics, tracking, or advertising cookies. As such, a cookie banner is not required.

9. Security Measures

We take appropriate technical and organisational measures to protect your data, including:

  • Secure website connection via SSL/HTTPS
  • Servers hosted within the Netherlands by Cloud86
  • Regular updates of WordPress and installed plugins
  • Restricted email access (only authorised staff)
  • Website maintenance by an external professional provider

10. Your Rights

Under the GDPR, you have the right to access your personal data, correct inaccurate data, request deletion, restrict processing, object to processing, and request data portability. To exercise any of these rights, please contact us at antares@antaresfoundation.org. We will respond within 30 days.

11. Complaints

If you believe your personal data is being processed improperly, you may submit a complaint to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) at www.autoriteitpersoonsgegevens.nl.
